The fastest way to choose the right chart type is to stop thinking about chart types for a moment. Write one plain-language sentence that describes what the reader should notice. “Mortgage rates rose quickly after 2021” is a trend. “France has the highest rate in this group” is a ranking. “Higher ad spend is associated with more sign-ups” is a relationship. Each sentence implies a different visual comparison.

This story-first approach is especially useful for newsletter writers and lean editorial teams. It prevents a familiar deadline problem: building an attractive chart, then discovering that the visual does not support the headline. The chart should answer the same question as the surrounding copy without requiring the reader to decode your intentions.

If you cannot state the intended takeaway in one sentence, the problem is usually not the chart format. You may have several stories competing for attention. Split them into separate charts, narrow the time range, or choose one primary comparison and move the rest into a table or methodology note.

Line chart vs. bar chart: decide whether continuity matters

Use a line chart when the horizontal axis has a meaningful order and the path between observations matters. Time is the most common example. The connecting line tells the reader to follow direction, turning points, and rate of change. A line is also appropriate for ordered sequences such as age or distance when the values between observations are conceptually continuous.

Use bars when the items are distinct categories: countries, products, industries, survey responses, or candidates. The separate shapes tell the reader that one category does not flow into the next. Sort bars by value when the purpose is ranking; preserve a natural order for stages, age bands, or response scales. Horizontal bars usually handle long labels better than vertical columns.

For multiple time series, aligned lines work when each series uses the same unit and scale. If one series is measured in dollars and another in subscribers—or if their starting values are far apart—consider indexing each series to 100 before comparison. A dual-axis chart can make unrelated scales appear connected and should be a last resort, not a default.

Watch out: Bars encode magnitude by length, so a non-zero baseline can exaggerate small differences. Line charts can use a tighter range when the purpose is to show movement, but the axis and context should remain explicit.

Choose specialized charts only when they earn their complexity

A slope chart is excellent for a focused before-and-after story. It shows direction and relative movement for several categories with very little ink. It becomes harder to read when there are many crossing lines or when the route between endpoints is the news. In that case, a full time-series chart is more honest.

A scatter plot is the right choice for relationships between two numeric variables. Each dot represents one observation, making clusters and outliers visible. Label only the observations that matter to the story, and describe the relationship carefully: an upward pattern can support an association, but the chart alone cannot prove that one variable caused the other.

A proportion chart works when the categories are mutually exclusive parts of a meaningful whole. A 100% stacked bar is often easier to compare than several pie charts. Pie or donut charts can work for two or three clearly different shares, but precise comparison gets difficult as slices multiply or values become similar.

Waterfall charts are useful when signed contributions reconcile a start with an end—for example, how new sales, churn, expansion, and contraction produced net recurring revenue. Timelines explain chronology, not quantity. Big-number cards work when one figure is genuinely the story, but they still need a unit, period, source, and a comparison such as “up 12% year over year.”

Account for the data shape before you design

A good chart recommendation can still fail if the underlying data is not comparable. Check that categories use the same definition, time series use compatible frequencies, and units are consistent. Monthly and quarterly observations should not be plotted as if they are equally frequent. Nominal dollars and inflation-adjusted dollars answer different questions. A country series may reflect a boundary or methodology change that breaks the visual trend.

Missing values also carry meaning. Do not silently draw a continuous line across a long gap unless the interpolation is justified. Forecasts should look different from observed values, usually with a dashed line or shaded interval. Preliminary observations and revisions belong in a note when they affect interpretation.

When exact lookup matters more than pattern recognition, use a table. A compact table may be better for quarterly earnings, legal thresholds, or a small set of values readers need to quote precisely. A chart and table can coexist, but avoid repeating the same information unless each serves a distinct reading task.

The right chart type is only half the decision. A newsletter chart is usually viewed inside a narrow reading column, often on a phone. It needs a strong title, readable labels, direct annotation, and enough contrast to survive email-client compression. A landscape chart can work, but the analytical content should remain legible when scaled to roughly the width of a mobile screen.

A social chart has even less context because it may circulate without the post that introduced it. Put the takeaway, time range, units, and source on the image itself. Square and portrait canvases occupy more feed space, but changing the aspect ratio should involve recomposing labels and annotations—not merely stretching a finished landscape chart.

Reports can support denser labels, footnotes, and small multiples because the reader is already in a document. Slides require the opposite: one visual claim, larger type, fewer series, and no paragraph-sized legend. If the same chart must travel across several surfaces, maintain one data and source record while exporting layouts tailored to each destination.
